To propose a new project that would require resources of staff in DST, please follow this process:

  1. Fill out a Project Summary
    • DST Staff can submit a Project Summary to their DST department head
    • Library Staff can submit Project Summary to dst-lt@win.duke.edu
    • Proposed grant applications should have a Project Summary submitted well in advance of grant submission deadline
    • DST Leadership will review Project Summary and respond within 1 month or less
    • We may ask questions of Project Sponsor and for Project Summary to be re-submitted, if necessary
    • Approved Project Summary will be invited to submit Project Charter or acknowledgement that this does not need to be a project (but rather asks)
    • Some Project Summaries may be declined
  2. Fill out the Project Charter
    • DST Leadership will assign a Project Lead (Karen, Tom, or Cory) as a guide to the Project Sponsor to consult in writing the Project Charter

    • Project Charter needs to be flexible in details between Project Sponsor’s team and ITS staff team(s)

    • Project Charter should specify and communicate how non-ITS staff / team(s) will work in conjunction with or separate from the ITS Sprint cycles 

    • Project Leads (Karen, Tom, Cory) can advise Project Sponsor what Sprint guidelines should be written into Project Charter

    • DST Staff can submit a Project Charter to their DST department head

    • Library Staff can submit Project Charter to dst-lt@win.duke.edu

    • DST Leadership will review Project Charter and respond within 1 month or less

    • We may ask questions of Project Sponsor and for Project Charter to be re-submitted, if necessary

    • Some Project Charters may be declined

  3.  Project Prioritization

    • Based on Portfolio Management review of resources by Director, ITS

    • Based on EG input for projects involving two or more divisions, or that impact campus users, or that impact a majority of DUL staff

    • Based on input of corresponding AUL, if competing projects require same team members of an previously approved project in queue

    • Based on input from DUL department or existing committee with governance oversight of a particular area, such as WebX or Digital Preservation and Production Program
